It’s that time of year. Christmas is achingly close and no doubt sleigh bells aren’t the only thing ringing. Though you may be looking forward to some well-deserved downtime over the festive period, call volumes remain as high as ever right up until the last minute. You’re probably wondering how you’re going to deal with it all before you wrap up for 2016.
Research has shown a frightening 35% of calls can be missed if simple measures are not put in place to capture them when offices are closed or being run by a skeleton staff. That’s a lot. We want to make sure you’ve got the tools in place to manage your business phone line over Christmas and New Year, so we’ve come up with a handy little checklist to help:
1. Answer scripts
Refresh your default audio message and don’t forget to wish your customers a Merry Christmas, along with holiday opening times. By giving this information upfront, customers can decide if they want to stay on the line, leave a message or simply call back when normal opening times resume.
2. Voicemail message
Like the audio message, make sure your voicemail is updated and clearly outlines your holiday opening hours so customers understand that there may be a delay in response times whilst you binge on mince pies (Don’t say the last part).
3. Out-of-hours numbers
Is your business one that requires out-of-hours support? Depending on the nature of your business, your customers might need to contact you in case of emergency. Ensure this number appears on your website alongside your main number, make reference to it in your voice recordings and consider emailing your customers in advance of the break so they’re know exactly what to do if they need to reach you.
4. Missed call and voicemail to email service
Missed call alert and voicemail to email services mean that you can pick up on anything important whilst you are away from the office. Our customers who make use of these features find them immensely useful. Why? It helps them to prioritise and manage their service effectively so that they can keep the most important people, their customers, happy.
